The Case for Preventative Maintenance

It is expected that over the course of time audiovisual equipment may have been moved, added or removed across your estate. This is particularly difficult to track when multiple service providers have been delivering solutions within your business. It is also extremely difficulty to risk-assess locations which have no asset information available.

Effective Preventative Maintenance programs ensure that you leverage the most value from your audiovisual estate by keeping track of your assests, optimizing their operational status and forecasting replacements and upgrades.

Preventative Maintenance Audit

Given the above, we believe a sensible approach should be to undertake a professional audiovisual audit of your site(s), as a preliminary requirement to delivering a first class maintenance and support service.

Our audits are intended to capture the following information, which would be collated and published in order to clearly define the “As Is” status of the estate. This information would then assist with the creation of the “global Asset Register” for your estate and enable a sensible risk-assessment of items to accurately determine SLA and part-replacement strategy and provisioning.

In addition, Support Service Level Provisioning would be optimised as fault logs could be immediately cross-referenced against formerly audited data, so that both Helpdesk and Call-Out engineers are able to properly equip themselves for the service call.

Preventative Maintenance Routine

Preventative Maintenance Routines are instigated to an agreed frequency upon contract commencement. We will recommend a number of site visits per annum to be undertaken for Preventative Maintenance. Additional emphasis will be given to “key” sites, “business-critical” installations and systems within areas where usage will be higher than average, for example Training Rooms.

Preventative Maintenance Visits are typically undertaken weekdays during working hours, therefore it will be necessary to ensure proper coordination with the client and local personnel in order to warrant unhindered access to all equipment for testing and preventative maintenance by our engineer(s).

A Preventative Maintenance Routine Program will be agreed with the client in order to afford each site ample opportunity to ensure work areas are available. The frequency of visits may require increase subject to retrospective installation of new equipment during the course of the contract. It is envisaged that any impact upon the Preventative Maintenance Routine should be captured at the design and scope stage of each new project. In all cases, findings and results are typically updated next-working-day to the Asset Register to ensure effective spot-check management of the estate.
